Before you sign up: universal checklist

Account setup checklist

  1. Pick one sign-in identity and use it everywhere. A personal Gmail works for almost every tool. Some college Google Workspace accounts block third-party apps.
  2. Also create a free Microsoft account at account.microsoft.com. It's needed for Copilot, Designer, Clipchamp and Power BI extras.
  3. Turn on 2-step verification on that Google/Microsoft account. Every tool you log into with “Continue with Google” inherits that protection.
  4. Prefer “Continue with Google / Microsoft” over creating new passwords. If you do create one, use a password manager (Google Password Manager, Bitwarden).
  5. Keep your phone nearby. Some tools (ChatGPT, Claude) may ask for an SMS or email code.
  6. Install Google Chrome or Microsoft Edge. Most extensions (Grammarly, tl;dv, QuillBot) need one of these.

Rules for every tool

  • Read the free-plan limits on the pricing page before you rely on a tool for an assignment. Limits change often.
  • Never enter a credit card to start a “free trial”. Every tool here works on its free plan.
  • No confidential data. Use only public datasets (Kaggle, UCI) or made-up data. No real employer, client or personal information.
  • Always verify AI output: numbers, citations, names and dates.
  • Tell people before recording. Before a meeting assistant joins a call, get everyone's consent.
  • Log it: record the tool, the task, time without AI vs. with AI, and errors found in your efficiency log.
Privacy settings to check after sign-up

Several chat assistants let you control whether your conversations are used to improve their models. Check these settings once, right after creating your account. Menu names can change slightly between app updates.

ToolWhere to find itWhat to do
ChatGPTProfile icon → Settings → Data controlsReview “Improve the model for everyone”; use Temporary Chat for sensitive drafts

Troubleshooting sign-up problems

“This app is blocked” or “Access denied by your administrator” with my college Google account

Your college's Google Workspace admin restricts third-party apps or some Google services (such as Gemini or NotebookLM). Sign in with a personal Gmail account instead, or ask the IT department to allow the service.

The verification email never arrived

Wait two minutes, then check Spam, Promotions and Updates folders. Search your inbox for the tool's name. Use “Resend code”. College mail servers sometimes delay external mail, so try a personal email if it's still missing after 10 minutes.

It asks for my phone number

Some tools (ChatGPT, Claude) verify a phone number once to prevent abuse. Enter your own mobile number with the +91 country code. Don't use a classmate's number: each number can only verify a limited number of accounts.

macOS says the app “can't be opened because it is from an unidentified developer”

This affects apps like Orange or KNIME downloaded directly from their websites. Open Finder → Applications, right-click the app → Open → Open. Or go to System Settings → Privacy & Security and click “Open Anyway”. Only do this for installers you downloaded from the official site linked in this toolkit.

Power BI Desktop won't install on my Mac

Power BI Desktop runs on Windows only. Use a Windows computer, or use Looker Studio or Tableau Public (both work on Mac) for the same dashboard activities.

“You've reached your limit” on the free plan

Free plans cap messages, credits or minutes. The limit usually resets after a few hours, daily or monthly. Switch to a similar tool from the same category (for example ChatGPT → Claude → Gemini → Copilot) and carry on.

The browser extension doesn't appear

Click the puzzle-piece (Extensions) icon in Chrome or Edge and pin the extension. Refresh the page you're working on. Check that the extension is enabled at chrome://extensions or edge://extensions.

How do I tell if a site is the real one?

Type the address shown in each SOP directly, or use the link in this toolkit. Don't sign up through ads or look-alike domains, and never enter your Google password on a page whose address isn't accounts.google.com.
